Privacy policy
This policy explains what personal information RetestLog collects, how we use it, who we share it with and the choices you have.
The short version
- We collect what you give us, what our website and app record as you use them, and what our service providers send us, and we use it to run, improve and market RetestLog.
- We and our partners use cookies and similar technologies on our website and in our app, so the services work, to understand how they are used, and to measure and improve our advertising.
- A third-party payment processor handles payments. We do not store your full card number.
- A shop’s compliance records belong to the shop. We hold and process them for the shop.
Who we are
RetestLog is run by RetestLog LLC. In this policy, “RetestLog”, “we” and “us” mean that company.
Email: help@retestlog.com.
What this policy covers
This policy covers the RetestLog website, our web app, our emails, our support, and any other place that links to it (together, the “services”).
RetestLog is a business service for fire extinguisher service companies. This policy applies to website visitors, people who contact us, people who register a shop or are invited to one, and the customers of shops that use RetestLog.
Two kinds of data, two roles
Data about you as our customer, user or visitor. This includes account, billing, support, usage and website data. We decide how it is used, and this policy applies to it.
A shop’s business records. These are what a shop stores in RetestLog: its equipment and service records, licenses, attachments, work orders and visits, and the details of its own customers. The shop owns these records and decides what goes in them. We process them on the shop’s behalf to provide the services, as our terms of service describe. If you are a customer of a shop that uses RetestLog, the shop’s own privacy practices apply to your information, so contact the shop with questions. We will help the shop answer you.
What we collect
Information you give us, for example:
- registration and account details, such as your name, email address, shop name and role;
- the information you or your shop enter in the app, including uploaded files and photos;
- what you send us when you contact us or ask for support;
- billing details, which our payment processor collects for us.
Information collected automatically when you use the services, for example:
- usage information, such as the pages and screens you view, the features you use, what you click, and the date, time and length of your visits;
- device and connection information, such as IP address, browser and device type, operating system, and identifiers set by cookies or similar technologies;
- the website or ad that referred you, and campaign tags and ad click identifiers in the link;
- general location derived from your IP address, and the place and time a photo was taken if your phone or camera records them in the photo file;
- logs that our systems keep for security, troubleshooting and performance.
Information from others, for example:
- your name, email address and an account ID from a sign-in provider, if you sign in with a third-party account;
- payment and subscription status from our payment processor;
- analytics and advertising data from our analytics and advertising partners;
- business information from public sources, such as government lists of licensed or approved businesses.
How we use it
We use personal information to:
- provide the services: create accounts, sign you in, store and show a shop’s records, and send the messages a shop asks us to send;
- process payments and manage subscriptions and trials;
- communicate with you, including service, account, billing and security messages, and answer support requests;
- understand how the services are used, and maintain and improve them;
- market RetestLog, including measuring how well our ads and campaigns work;
- keep the services secure, prevent fraud and abuse, and fix problems;
- meet legal obligations and enforce our terms.
We may use automated tools, including artificial intelligence (AI) services, to help with these purposes, for example to organize support requests and draft replies.
We may create de-identified or aggregated information that no longer identifies you or your shop, and use it for any purpose, such as to analyze and improve the services.
We do not use a shop’s business records to market to that shop’s customers.
Cookies, analytics and advertising
We and our partners use cookies, local storage, pixels, tags and similar technologies on our website, in our app and in our emails. We use them so the services work, for example to keep you signed in and keep the services secure; to remember your preferences; to understand how the services are used; and to measure and improve our advertising and marketing, for example to learn which ads and campaigns lead people to visit us or sign up. The technologies we use, and the partners that provide them, change from time to time.
Our analytics and advertising partners may collect information about your use of the services over time and across other websites and apps. We use what they report to measure and improve the services, our advertising and our marketing, and to decide where to show our ads, including to people who have visited our website.
Your choices. Most browsers let you block or delete cookies and clear other stored website data in their settings. If you do, parts of the services may not work, and signing in to the app needs cookies. Some partners offer their own opt-outs, and industry tools such as the Digital Advertising Alliance (optout.aboutads.info) let you opt out of interest-based ads from participating companies.
How we share it
We share personal information with:
- Service providers that process it for us to run our business, such as cloud hosting, data storage, email delivery, sign-in, payment processing, customer support, AI services, analytics and advertising. They may use it only to provide their services to us, and as their own terms and the law allow.
- Analytics and advertising partners, through the technologies described in “Cookies, analytics and advertising”, and when we tell them which visits or ads led to a registration or a purchase, to measure and improve our advertising.
- The shop you work for or are a customer of, as part of providing the services to that shop.
- Our affiliates, meaning companies under common ownership with us, for the purposes in this policy.
- A buyer or successor, if we are involved in a merger, sale of assets, financing or similar transaction.
- Authorities and others, when we believe it is required by law or legal process, or needed to protect the rights, property or safety of our users, the public or us.
- Others with your consent or at your direction.
Messages we send
- Service messages, such as sign-in codes, invitations, account, billing and security notices, are part of the services. You cannot opt out of them while you have an account.
- Messages for a shop. On a shop’s instructions, we email its customers service reports and reminders, in the shop’s name. Reminder emails include an unsubscribe link.
- Marketing email. You can unsubscribe at any time with the link in the email.
How long we keep it
We keep personal information for as long as we need it for the purposes in this policy: while your account or your shop’s account is active, then for as long as needed to provide records the shop may come back for, meet legal, tax and record-keeping obligations, resolve disputes and enforce our agreements. After that, we delete it or de-identify it. Information that our analytics and advertising partners collect through cookies and similar technologies is kept according to those services’ settings and terms.
A shop’s compliance records are kept as a permanent history, because the rules that govern them expect the original record to stay unchanged. Deleted information may remain in backups for a period until those backups expire.
Your rights and choices
Depending on where you live, you may have the right to ask us for access to, a copy of, correction of or deletion of your personal information, and to opt out of certain uses. To make a request, email help@retestlog.com. We will verify your request and respond as the law requires. We may keep information when the law allows or requires it, for example records a shop must keep or billing records. We will not discriminate against you for making a request.
If your information is in a shop’s business records, we will refer your request to that shop.
Advertising opt-out. Some state laws treat sharing information with advertising partners, as described in “Cookies, analytics and advertising”, as a “sale” or “sharing” of personal information. Where those laws apply, you can opt out by emailing help@retestlog.com, and we will honor browser opt-out signals, such as Global Privacy Control, as those laws require.
Security
We use reasonable administrative, technical and physical safeguards to protect personal information, including encryption. No system is completely secure, and we cannot guarantee the security of information you send us.
Where we process data
We are based in the United States and process data there. Our service providers may process it in other countries.
Children
The services are for businesses and are not directed to children. We do not knowingly collect personal information from anyone under 16.
Changes to this policy
We may update this policy from time to time. We will post the new version here with a new “Last updated” date, and if a change is material, we will tell you by email or in the services.
